Personal Data Privacy Policy

This policy explains what information we collect when you request a quote or sail with us, what we use it for, who we share it with, and what you can require from us. It is written to be understood, not to be skipped. It covers nauticaleventos.com, our chats, our ad forms, and bookings.

WHO IS RESPONSIBLE

  • Grupo AVS Cartagena S.A.S., tax ID (NIT) 900.336.457-1, trading as Nautical Eventos, based at Cra 20 #22-24, Manga, Cartagena de Indias, Colombia, is the controller of your personal data.

  • For anything concerning your data: comercial@nauticaleventos.com or +57 317 439 8294. That is the official channel for enquiries and complaints.

  • We operate under Colombian Law 1581 of 2012 and Decree 1377 of 2013.

WHAT WE COLLECT

  • When you ask for a quote: your name, your WhatsApp or phone, your email if you give it, the country you write from, the event date, how many guests, and whatever you tell us about the plan.

  • When you book and sign: also your ID document number. We ask for it because the contract and the harbour clearance require it, not for anything else.

  • When you talk to us by chat, WhatsApp, or social media: the content of that conversation and a summary of what you asked for.

  • When you fill in the form on one of our ads on Instagram or Facebook: what you answer there — your name, your contact, the plan, the date, and how many guests. Meta passes it to us and we keep it like any quote request.

  • When you browse the site: technical and usage data that keep the site working, tell us which content is useful, and measure our ads. For that we use Google Analytics, Google Ads, and the Meta pixel, explained below under Cookies.

  • We do not ask for sensitive data — health, ethnicity, beliefs, political or sexual orientation — and we do not need it.

WHAT WE USE IT FOR

  • Answering you, quoting, and arranging the service you asked for.

  • Confirming the booking, issuing the contract, and handling payment.

  • Coordinating departure with the vessel's owner or captain.

  • Writing to you about your booking: confirmations, time changes, weather or maritime authority notices.

  • Improving our service and running our internal sales process.

  • Knowing which ads work and showing Nautical Eventos ads, on Instagram, Facebook, or Google, to people who have already visited our site.

  • Data from an ad form is used to contact you about what you asked for. We do not upload it to advertising lists or use it for anything else without asking you.

  • Meeting legal, accounting, and maritime authority obligations.

  • We do not sell your data. Ever. And we do not hand it to third parties so they can market to you.

IF OUR ASSISTANT ANSWERS YOU

  • Part of our chat and WhatsApp support is handled by an automated assistant. We tell you plainly because you have a right to know.

  • To answer you, the conversation is processed by an artificial intelligence model from Anthropic, a provider located in the United States.

  • The conversation is stored in our systems and our sales team can read it, because that is where the quote and the follow-up come from.

  • You can ask to speak with a person at any time, and we will hand you over. You can also ask us to delete the conversation.

WHO WE SHARE IT WITH

  • With the owner, marina, or captain of the vessel you booked, and only what is essential to run the service and clear departure.

  • With the providers that keep our operation running, and only for that: site and database hosting, photo and contract storage, email, WhatsApp messaging, internal alerts to our team via Telegram, payment processing, and the automated assistant.

  • With Meta (Instagram and Facebook) and Google, which receive data about your visit through the measurement and advertising tools described under Cookies. They also handle it under their own policies.

  • With the authorities when the law requires it, including the maritime authority.

  • Each of those providers acts as a processor: they handle your data on our instructions and for the agreed purpose, not their own.

YOUR DATA OUTSIDE COLOMBIA

  • Several of those providers are in the United States, so some of your data is stored or processed there.

  • By accepting this policy you authorise that international transfer, which we make only with providers that offer the security and confidentiality guarantees Colombian law requires.

HOW LONG WE KEEP IT

  • If you only asked for a quote: up to two years from our last contact, in case you pick the plan back up. You can ask us to delete it sooner.

  • If you booked: for the length of the relationship and afterwards for as long as accounting, tax, and legal obligations require.

  • When there is no longer a reason to keep it, we delete or anonymise it.

WHAT YOU CAN REQUIRE FROM US

  • To know what data we hold on you and where it came from, free of charge.

  • To update or correct it if it is wrong or incomplete.

  • To have it deleted, unless the law obliges us to keep it.

  • To withdraw the authorisation you gave us and have us stop using it.

  • To have your data deleted, including what reached us through Instagram or Facebook, at nauticaleventos.com/es/eliminar-datos.

  • To complain to the Colombian Superintendence of Industry and Commerce, after coming to us first.

  • All of it by writing to comercial@nauticaleventos.com. Enquiries are answered within ten business days and complaints within fifteen business days, which are the deadlines set by law.

COOKIES

  • We use our own cookies to keep the site working: remembering your language, keeping your session, and not losing what you were filling in.

  • We also use Google cookies (Analytics and Ads) and the Meta pixel. They count visits, tell us which ad brought you, and show you our ads again if you have visited the site. They do not identify you to us by name.

  • If you would rather not take part: adjust your Meta ads at facebook.com/adpreferences and your Google ads at adssettings.google.com, and turn off Google Analytics with its add-on at tools.google.com/dlpage/gaoptout.

  • You can block or delete all cookies in your browser. If you do, parts of the site may stop working properly.

MINORS

  • The site and bookings are intended for adults. We do not directly request or process minors' data.

  • If minors travel on a booking, the data you give us about them is the responsibility of the person contracting and is used only for departure clearance and safety on board.

HOW WE PROTECT IT

  • The site is encrypted, access to commercial information is protected by password and session, and only staff who need it for their work can get in.

  • If an incident affecting your data ever occurred, we would tell you and report it to the authority as the law requires.

CHANGES TO THIS POLICY

  • If we change something important, we update the date above and publish it here.

  • If the change affects the purpose you authorised, we will tell you and ask for your authorisation again.
